We collect various kinds of data on our web pages. On the one hand, we collect personal data, i.e. data that you enter voluntarily by registering for our newsletter, contacting us or using similar services.
On the other hand, we use cookies or pixels on our website to collect information and general data about the use of our website, which is automatically transmitted to us or third parties when our website is used.
It is possible to use our website without actively entering your personal data. You can decide for yourself which automatic data collection to allow via the banner about consent to cookies and advertising that appears when you use our website - except for the services that are essential for operating the website.
If you decide to accept the use of all the services, we will store and use cookies, device IDs and similar tracking technologies on devices in order to enable the collection of usage data and the pseudonymised processing thereof to create user profiles for the purpose of a usage-based advertising feed (“advertisement tracking”). The use of our websites is often possible without entering your personal data. However, the voluntary disclosure of personal data is necessary in just a few cases listed below since we cannot make our services available to you otherwise. We use the data for the purposes listed in detail below:
We offer you the chance to register for our services on our website. After registration, you will automatically receive our jobs newsletter at regular intervals with new vacancies and other interesting content about job hunting. Furthermore, as a registered member you will have the option of additionally subscribing to our special newsletter, Job Express, setting up a search profile and using it to match the vacancies sent to you to your search; you can mark jobs of interest to you in a list and transfer details from your user profile to application templates.
To register, you will only need to enter your email address and create a password later. The entry of your salutation, title, first name and surname is voluntary.
If you set up a search profile, we will also store this in order to send you current vacancies that match your profile and other interesting information about the job market by email. The lawful basis for the processing of your data is your consent given upon registration or voluntary entry of data and therefore Art. 6 (1) (a) of the GDPR.
Our newsletter is despatched on our behalf by Mailjet, (Mailjet GmbH, Rankestr. 21, 10789 Berlin, Germany), the service provider commissioned by us, to whom we forward your data. The lawful basis of the data processing is Art. 6 (1) (f) of the GDPR.
Your data will be stored for the duration of your registration, or until we receive a withdrawal of your consent or an objection to the processing of your data for advertising purposes. When we receive an objection to advertising, your registration will be deleted in full.
It is possible to unsubscribe from the newsletter at any time by deleting your registration. You can either delete it in your profile settings or by clicking on the link in any newsletter. You can also withdraw your consent at any time, for example by email to info@academics.com.
If you contact us using the form on our website or by email, we will receive personal data from you. We will use this data to handle your enquiry (see Art. 6 (1) (b) of the GDPR) and store it for six months in case there are any subsequent questions.
We will not use this data for advertising purposes or pass it on to others without your consent unless it is necessary to do so to fulfil the contract.
You have the option of applying to various job advertisements via our portal. By clicking on the “Apply now” button on a job advertisement, you will either be directed to the employer’s website and asked to apply to them by email or an application form will open on our website.
If you apply via the application form, we will ask you for the following data in this form: salutation, title, first name and surname and your email address. The only required entry is your email address; this is absolutely necessary to pass on your application. All other information is voluntary as is the uploading of your CV or other application documents.
As soon as you send your application off using the button provided, we will immediately pass on your data to the potential employer stated in the job advertisement. Your data and uploaded documents will only be stored on our servers while it is being sent. The collection and forwarding of your data are based on your corresponding consent and therefore on the lawful basis set out in Art. 6 (1) (a) of the GDPR.
You have the possibility of booking online advertisements in different categories on our website.
To do so, you must set up a customer account for ad entry on our website. When registering, it is necessary to provide the following data: email address, password, contact details (address, first name, last name, phone number (voluntary)), billing address (street name and house number, postcode, city, country). The data not marked as voluntary is required to implement the registration effectively. Your data will be processed for the purpose of implementing the effective registration and setting up a customer account. The processing of the data will be carried out on the basis of Article 6(1)(1)(b) GDPR. Your data will be stored with us as long as your customer account exists with us. If you delete your customer account, your data provided during registration will be stored for a further six months in case of queries. The processing of your data is based on a corresponding legitimate interest on our part and therefore on Article 6(1)(1)(f) GDPR.
After registration, if you place/book an advertisement, your data as well as any personal data (e.g. contact details, name, etc.) specified in the advertisement will be processed for the purpose of fulfilling your advertisement order. Your data is stored for the duration of the advertisement order. The processing of the data will be carried out on the basis of Article 6(1)(1)(b) GDPR.
After fulfilling the advertisement order, your data will be stored until the expiry of the statutory limitation periods. We have a legitimate interest in the corresponding data processing resulting from Article 17(3)(e) GDPR. The processing of the data will be carried out on the basis of Article 6(1)(1)(f) GDPR. Moreover, in accordance with Article 6(1)(1)(c) GDPR, we store personal data to fulfil our statutory retention obligations in accordance with Section 257(4) of the German Commercial Code (HGB), Section 147(3) of the German Tax Code (AO). This applies to entries in the current account book, booking vouchers and invoices for your booking, for instance. The retention period shall be a maximum of ten years and shall begin with the end of the calendar year in which the last entry in the book was made or the accounting voucher was issued, further recording was made or other documents were produced.
Your data will be passed on insofar as it is necessary for the fulfilment of the contract. Thus, your data will be passed on to our payment service provider for billing purposes when an advertisement is placed/booked. Moreover, job advertisements are produced by a service provider we commission: Jobware GmbH, Technologiepark 32, 33100 Paderborn, Germany. Your advertisement will also be published as agreed on our partner companies’ websites. Accordingly, data is passed on to the partner companies. The processing of the data will be carried out on the basis of Article 6(1)(1)(b) GDPR.
If we receive your data in connection with the conclusion of a contract in a broader sense or registration for our services, we are permitted to send offers for goods and services that we offer, which are similar to the services you have made use of, to your email address. We have a commercial interest in the corresponding sending of advertising. In this respect, the processing of your email address is based on a legitimate interest. The lawful basis is Art. 6 (1) (f) of the GDPR in conjunction with Section 7 (3) of the German Protection against Unfair Competition Act (UWG). You may object to the processing of your data for the purpose of direct marketing at any time.
If you have given us consent to sending marketing emails the corresponding processing is also based on Art. 6 (1) (a) of the GDPR. You can withdraw the consent you have given us at any time, for example by email to info@academics.com.
We will store your data for advertising purposes unless we have received an objection/withdrawal in this respect.
Provided we have your consent in this respect, your data will also be passed on to our cooperation partners, the ZEIT publishing group and the German Association of University Professors and Lecturers (Deutsche Hochschulverband) for the purpose of advertising. As well as the data you enter voluntarily, we also automatically collect data from you every time you visit our websites, which enables you to have smooth use of our websites and directly provide you with certain information and third-party links.
We also automatically collect data for advertising purposes if you have given us your consent to do so. In this case, usage data is tracked for so-called usage-based online advertising, i.e. usage data is collected and processed pseudonymously to create usage profiles (“advertisement tracking”). (1) Google Sign-In
You can log in or register on our website using your Google account. Google sign-in makes it easier to register for services on the internet. Instead of using the registration screen on our website you can enter your Google login details and then use the services we offer. By using Google to sign in, your browser automatically establishes a direct link to Google's server. You will be redirected to the Google page to register. You can register there using your user data. Your Google account will then be linked to our services. We do not have any influence over the extent or additional use of data which is collected by Google by using Google to sign in. As far as we are aware, Google receives the information that you have viewed that particular part of our website.
We receive your email address from Google, which we store for as long as you have an account with us. The processing of the aforementioned data is based on the consent you have given and therefore on Art. 6 (1) (a) of the GDPR.
(2) Google Maps
We use “Google Maps” on our website. This means we can display interactive maps directly on our website which lets you use the map function easily.
Google Maps is embedded in “enhanced data protection mode”, i.e. no data about you as a user is transmitted to Google Maps unless you run the maps. Therefore, you first have to activate the maps on our website. The data transfer described below will only take place when you have actively allowed the maps to display. When you activate the service and you view a page on our website that contains a map, Google receives the information that you have viewed the respective sub-page on our website. Your IP address will be transmitted in the process. This occurs irrespective of whether or not you have a Google account and use it to log in. If you are logged into Google, your data will be assigned directly to your account. If you do not wish it to be assigned to your Google profile you must log out beforehand. Google stores your data as user profiles and uses them for advertising purposes. Such evaluation is carried out in particular to bring appropriate advertising (even for users who are not logged in) and in order to inform other users about your activities on our website. You have a right to object to the creation of these user profiles although you have to contact Google directly to do so.

(3) Google Analytics
We use “Google Analytics”, a web analysis service from Google, on our websites. Google uses cookies, i.e. small text files, which are stored on your device and which enable the analysis of your use of our website. The information created about the use of our website by the cookie is usually transmitted to a Google server in the USA and stored there. If - as in our case - the anonymisation of the IP address which is to be transmitted by the cookie is activated on the website (IP anonymisation), your IP address will be shortened by Google within the Member States of the European Union or in the other European Economic Area states. Only in exceptional cases will the full IP address be transmitted to a Google server in the USA and shortened there.
Google will use this information in order to analyse the use of website on our behalf, compile reports on website usage and render other services associated with website usage and internet usage. Pseudonymised user profiles may be created out of the processed data in the process. Profile data is only created with your consent i.e. on the lawful basis of Art. 6 (1) (a) of the GDPR. The IP address transmitted when Google Analytics is used is not merged with other data from Google.
We only use Google Analytics with the activated IP anonymisation described above. This means that your IP address will only be processed further by Google after shortening. The identification of individuals can therefore be ruled out.
We also use Google Analytics for the purpose of analysing the use of our website and to continuously improve individual functions and offers as well as user experience. We can improve our website and make it more interesting for you as a user as a result of the anonymised statistical analysis of user behaviour.
We only use Google Analytics if you have consented to its use, i.e. on the basis of Art. 6 (1) (a) of the GDPR. Once you have given your consent, you can withdraw it at any time.

(4) Google Tag Manager
We also use Google Tag Manager if you have agreed to the use of this service. Google Tag Manager enables us as a marketer to manage website tags via an interface. Google Tag Manager, which implements the so-called tags, is a cookie-free domain and does not collect any personal data. It prompts other tags which may in turn collect data in certain circumstances. Google Tag Manager does not access this data. If you have selected ‘disable’ at domain or cookie level, this remains in place for all tracking tags implemented with Google Tag Manager. Processing of any data is based on Art. 6 (1) (a) of the GDPR.

(5) Google Ads
We also use the “Google Ads” service on our website. Google Ads enables us to draw attention to our attractive offers on external websites with the aid of advertisements (so-called Google Ads). As a result, we can determine how successful individual advertising activities are. These advertisements are delivered by Google using so-called “Ad servers”. We use so-called ad server cookies for this purpose, which allow certain parameters of performance measurement, such as display of advertisements or user clicks, to be measured. If you reach our website via a Google advertisement, a cookie from Google Ads is stored on your PC. These cookies usually lose their validity after 30 days. They are not intended to identify you personally. The following information is normally saved with this cookie as analytical values: unique cookie ID, number of ad impressions per placement (frequency), last impression (relevant for post view conversions) and opt-out information (marker indicating that the user does not wish to be contacted any more). These cookies allow Google to recognise your browser. If a user visits certain pages on the website of an ad customer and the cookie on their computer has not expired, Google and the customer can detect that the user has clicked on the advertisement and has been redirected to this page. Every Ads customer is assigned a different cookie. Cookies can therefore not be traced via the website of Ads customers.
We do not collect or process any personal data in the aforementioned advertising activities ourselves. Google only provides us with statistical analyses. On the basis of such analyses, we can detect which of the advertising activities we have used are especially effective. We do not receive any other data from the use of advertising, in particular we cannot identify users on the basis of this data. Because of the marketing tools used, your browser automatically establishes a direct link to Google's server. We do not have any influence over the extent or additional use of the data which is collected by Google from the use of Google Ads. As far as we are aware, Google receives the information that you have viewed that particular part of our website or clicked on one of our advertisements. If you have a Google account and are registered, Google can assign the visit to your user account. Even if you are not registered with Google or have not logged in, there is a possibility that Google can discover your IP address and store it.
We use Google Ads for marketing and optimisation purposes, in particular in order to display advertisements that are relevant and of interest to you, improve reports on campaign performance and to achieve a fair calculation of advertising costs. We will only use Google Ads with your consent and you can opt out at any time. The processing of this data is based on Art. 6 (1) (a) of the GDPR. The storage period is 6 months.

We also use the Google service “Google Dynamic Remarketing” on our website. Google Dynamic Remarketing allows us to display our advertisements when you carry on using the internet after visiting our website. This is done by means of cookies stored on your browser, which Google uses to record and analyse your usage behaviour when visiting various websites. Google can record your previous visit to our website in this way. According to Google, data collected within the scope of remarketing is not merged with your personal data that might be stored by Google. In particular, pseudonymisation is used during remarketing, according to Google.

(7) YouTube
We use the YouTube service of YouTube LLC, 901 Cherry Ave., San Bruno, CA 94066, USA, a subsidiary of Google LLC, to embed videos. The YouTube video service in Germany is provided by Google Ireland Limited Gordon House, Barrow Street Dublin 4, Ireland.
We have embedded videos on our website, which are stored on https://www.youtube.com and can be played directly from our website. The videos are embedded in ‘enhanced data protection mode’, i.e. no data about you as a user is transmitted to YouTube unless you play the videos. The YouTube server is only informed about which of our website pages you have visited when you play the videos. If you are logged in as a member on YouTube at the same time, YouTube will assign this information to your personal user account. You can prevent this assignment by logging out of your YouTube account and other Google accounts before using our website.
