The protection of your data is very important to us; we of course observe all of the data protection regulations that are applicable in Germany.

We inform you in detail below which personal data (i.e. data which can identify you as an individual such as name, address or IP address) we collect on our websites and in connection with the services and offers referred to in this privacy policy and for which purpose and how long this data is stored for. We then inform you in detail about your rights in relation to data processing and how to assert these rights.

In the following an overview is given regarding all collected data by us. Part IV "Your rights" informs thoroughly about your rights.

We collect various kinds of data on our web pages. On the one hand, we collect personal data, i.e. data that you enter voluntarily by registering for our newsletter, contacting us or using similar services.

On the other hand, we use cookies or pixels on our website to collect information and general data about the use of our website, which is automatically transmitted to us or third parties when our website is used.

It is possible to use our website without actively entering your personal data. You can decide for yourself which automatic data collection to allow via the banner about consent to cookies and advertising that appears when you use our website - except for the services that are essential for operating the website.

If you decide to accept the use of all the services, we will store and use cookies, device IDs and similar tracking technologies on devices in order to enable the collection of usage data and the pseudonymised processing thereof to create user profiles for the purpose of a usage-based advertising feed (“advertisement tracking”). This happens because in this case we finance our services with your consent through additional advertising, optimised by advertisement tracking. In this case, the lawful basis of the data processing is Art. 6 (1) (a) of the GDPR.

If you do not consent to such data collection, we will only use cookies and tracking technologies that are essential or necessary for internal/general usage analysis, in particular for audience measurement and retaining functionality. We have an overriding legitimate interest in such use of these technologies, the lawful basis of such data processing is Art. 6 (1) (f) of the GDPR.

Additional information in regard to the data processing as well as the revocation possibility of individual tracking partners can be found in part III and part VI.

The data processing approaches are described in detail in parts II. and III. In part IV. your rights in relation to the processing of your data are explained.

In the case of your data being processed in shared accountability within the ZEIT Verlagsgruppe or third parties ("joint-controllership", Art. 26 of the GDPR), you will be informed in the following descriptions of the specific data handling approach. The responsible parties have reached an agreement about your JointControllership in accordance with Art. 26 (1) of the GDPR. Further information concerning the shared responsibility, espescially regarding the functions and relations of the responsible parties towards affected persons, will be gladly provided by us upon request. 

Visiting our website, as well as using our services may be connected to the transmission of certain personal data in third countries, in which the GDPR is not applicable law. Such a transmission is executed reliably in the case that the European comissions has contested that the respective third country possesses an adequate level of data protection. In the case of no resolution of adqueacy by the European commission, a transmission of personal data only takes place when appropriate garanties in accordiance with Art. 46 of the GDPR or when one of the requirements of Art. 49 of the GDPR are given.

The use of our websites is often possible without entering your personal data. However, the voluntary disclosure of personal data is necessary in just a few cases listed below since we cannot make our services available to you otherwise. Under the following headers you'll find information regarding for which purposes we are asking you to provide us with personal data, which data we are gathering, what we are using it for and how long we are storing your data. 

To be able to retrieve and store your consent, we are using the content management platform by Sourcepoint (Sourcepoint Technologies, Inc., 228 Park Avenue South, #87903, New York, NY 10003-1502, United States). This sets a technically necessary cookie which is needed to scan the consent status and output corresponding contents depending on the status. A utilization analysis to be able to measure how the consent obtaining works, is being conducted due to our legitimate interest in accordance with Art. 1 (1) (f) of the GDPR.

The cookie will be saved until your objection and will be deleted after 13 months at the latest.

Since there the transmission into third countries takes place, we have concluded EU standard contractual clauses to ensure that the personal data processing is compatible with applicable law and in particular the GDPR.

If you contact us using the form on our website or by email, we will receive personal data from you. We will use this data to handle your enquiry (see Art. 6 (1) (b) of the GDPR) and store it for six months in case there are any subsequent questions.

We will not use this data for advertising purposes or pass it on to others without your consent unless it is necessary to do so to fulfill the contract. 

If you desire to use the telephonic callback service by our customer support, we need you to disclose a telephone number, your name and your matter of concern so that we can call you back as soon as possible. After absolving the recall, your telephone number will be deleted from our system except in the case in which you desire a longer storage duration. Your name and matter of concern will be saved for a period of maximum 6 months in the case of follow-up questions. The lawful basis of this processing of your data is the consent retrieved by you and thus Art. 6 (1) (a) of the GDPR. You can withdraw your consent at any time. If you have a subscription with us, the information stated in part "Abschluss eines Abonnements" are predominentaly applicable for the storage duration and the lawful basis.

The data processing conducted in the context of our customer service is done in shared responsibilty with other companies of the ZEIT publishing group. More information can be found in part V.

We offer you the chance to register for our services on our website. After registration, you will automatically receive our jobs newsletter at regular intervals with new vacancies and other interesting content about job hunting. Furthermore, as a registered member you will have the option of additionally subscribing to our special newsletter, Job Express, setting up a search profile and using it to match the vacancies sent to you to your search; you can mark jobs of interest to you in a list and transfer details from your user profile to application templates.

To register, you will only need to enter your email address and create a password later. The entry of your salutation, title, first name and surname is voluntary.

If you set up a search profile, we will also store this in order to send you current vacancies that match your profile and other interesting information about the job market by email. The lawful basis for the processing of your data is your consent given upon registration or voluntary entry of data and therefore Art. 6 (1) (a) of the GDPR.

Our newsletter is despatched on our behalf by Mailjet, (Mailjet GmbH, Rankestr. 21, 10789 Berlin, Germany), the service provider commissioned by us, to whom we forward your data. The lawful basis of the data processing is Art. 6 (1) (f) of the GDPR.

Your data will be stored for the duration of your registration, or until we receive a withdrawal of your consent or an objection to the processing of your data for advertising purposes. When we receive an objection to advertising, your registration will be deleted in full.

It is possible to unsubscribe from the newsletter at any time by deleting your registration. You can either delete it in your profile settings or by clicking on the link in any newsletter. You can also withdraw your consent at any time, for example by email to info@academics.com. Please read part IV. regarding your right of revocation.

On our websites we have integrated the service Freshdask by Freshworks Inc., 2950 S.Delaware Street, Suite 201, San Mateo, CA 94403, United States.

We either use the contact form by Freshdesk, which is incorporated per iFrame onto our sites, our we process incoming mails with Freshdesk.

In doing so either the data entered in the forms when establishing contact is processed, or the incoming mails are processed by us. The incoming data is saved in our Customer-Relationship-Management system (CRM system).

We process your data through Freshdesk with the purpose of processing contact inquiries in accordance with Art. 6 (1) (b) of the GDPR. Our legitimate interest to ensure optimized customer service is the lawful basis according to Art. 6 (1) (f) of the GDPR. We have concluded a commissioned data processing agreement to protect your data. In the context of journalistic-editorial offers such as the "Das rote Telefon" we may use the Freshdesk Contact Center for your phone calls and voice messages. Of course we will only use your phone number in this context. At the same time, we do not publish any contents of any phone calls or other information without your consent. At the beginning of a call you can notify us if you want to stay anonymous. Sensible information is treated with great caution on our part. The lawful basis for the usage of the Freshdesk Contact Center is Art. 6 (1) (f) of the GDPR. We have concluded a commissioned data processing agreement to protect your data. You have the option of applying to various job advertisements via our portal. By clicking on the “Apply now” button on a job advertisement, you will either be directed to the employer’s website and asked to apply to them by email or an application form will open on our website. The content will be immediately forwarded to the respective employer.

If you apply via the application form, we will ask you for the following data in this form: salutation, title, first name and surname and your email address. The only required entry is your email address; this is absolutely necessary to pass on your application. All other information is voluntary as is the uploading of your CV or other application documents.

As soon as you send your application off using the button provided, we will immediately pass on your data to the potential employer stated in the job advertisement. Your data and uploaded documents will only be stored on our servers while it is being sent. The collection and forwarding of your data are based on your corresponding consent and therefore on the lawful basis set out in Art. 6 (1) (a) of the GDPR.

You have the possibility of booking online advertisements in different categories on our website.

To do so, you must set up a customer account for ad entry on our website. When registering, it is necessary to provide the following data: email address, password, contact details (address, first name, last name, phone number (voluntary)), billing address (street name and house number, postcode, city, country). The data not marked as voluntary is required to implement the registration effectively. Your data will be processed for the purpose of implementing the effective registration and setting up a customer account. The processing of the data will be carried out on the basis of Article 6(1) (1) (b) GDPR. Your data will be stored with us as long as your customer account exists with us. If you delete your customer account, your data provided during registration will be stored for a further six months in case of queries. The processing of your data is based on a corresponding legitimate interest on our part and therefore on Article 6 (1) (1) (f) GDPR.

After registration, if you place/book an advertisement, your data as well as any personal data (e.g. contact details, name, etc.) specified in the advertisement will be processed for the purpose of fulfilling your advertisement order. Your data is stored for the duration of the advertisement order. The processing of the data will be carried out on the basis of Article 6 (1) (1) (b) GDPR. 

After fulfilling the advertisement order, your data will be stored until the expiry of the statutory limitation periods. We have a legitimate interest in the corresponding data processing resulting from Article 17 (3) (e) GDPR. The processing of the data will be carried out on the basis of Article 6 (1) (1) (f) GDPR. Moreover, in accordance with Article 6 (1) (1) (c) GDPR, we store personal data to fulfil our statutory retention obligations in accordance with Section 257 (4) of the German Commercial Code (HGB), Section 147 (3) of the German Tax Code (AO). This applies to entries in the current account book, booking vouchers and invoices for your booking, for instance. The retention period shall be a maximum of ten years and shall begin with the end of the calendar year in which the last entry in the book was made or the accounting voucher was issued, further recording was made or other documents were produced.

Your data will be passed on insofar as it is necessary for the fulfilment of the contract. Thus, your data will be passed on to our payment service provider for billing purposes when an advertisement is placed/booked. Moreover, job advertisements are produced by a service provider we commission: Jobware GmbH, Technologiepark 32, 33100 Paderborn, Germany. Your advertisement will also be published as agreed on our partner companies’ websites. Accordingly, data is passed on to the partner companies. The processing of the data will be carried out on the basis of Article 6 (1) (1) (b) GDPR.

Like the journal and website "Forschung & Lehre" we publish announcements of habilitations and/or callings. If you wish to inform us about your specific announcement, you can contact Forschung & Lehre or us. In order to do so, please send us an e-mail, which we will forward to Forschung & Lehre along with your communicated personal data relevant to this context (e-mailaddress, name, address, academic and career information etc.). Your statement will be reviewed by Forschung & Lehre. After successful confirmation your title, name, field of work, employer as well as your message of habilitation and/or calling will be published in the Forschung & Lehre magazine, as well as on the websites of Forschung & Lehre and academics.

The corresponding processing of your data is necessary to fulfill your request of publishing your habilitation or callingand has its lawful basis in accordance with Art. 6 (1) (1) (a) of the GDPR. Your data is saved by us for around 6 months.

If we receive your data in connection with the conclusion of a contract in a broader sense or registration for our services, we are permitted to send offers for goods and services that we offer, which are similar to the services you have made use of, to your email address. We have a commercial interest in the corresponding sending of advertising. In this respect, the processing of your email address is based on a legitimate interest. The lawful basis is Art. 6 (1) (f) of the GDPR in conjunction with Section 7 (3) of the German Protection against Unfair Competition Act (UWG). You may object to the processing of your data for the purpose of direct marketing at any time.

If you have given us consent to sending marketing emails the corresponding processing is also based on Art. 6 (1) (a) of the GDPR. You can withdraw the consent you have given us at any time, for example by email to info@academics.com. Please read part IV. regarding your right of revocation.

We will store your data for advertising purposes unless we have received your withdrawal of consent regarding this aspect. 

Provided we have your consent in this respect, your data will also be passed on to our cooperation partners, the ZEIT publishing group and the German Association of University Professors and Lecturers (Deutsche Hochschulverband) for the purpose of advertising. The lawful basis of the data processing in this respect is your consent and therefore Art. 6 (1) (a) of the GDPR.

To make your attendance at one of our webinars possible through the browser and thus without any additional software, we use services by edudip GmbH. Registering is possible directly through edudip's website; your data is forwarded to us by edudip. The data processing by edudip is executed only through our order and instruction.

To sign up for one of our offered webinars you need to provide us with your name and surname, as well as your e-mail address. The information of your name is necessary to ensure that your e-mail address is linked to a natural person and so that we can personally address you in our mails regarding the webinar sign up. We use your data to make your participation in the webinar possible, the lawful basis to do so is in accordance with Art. 6 (1) (1) (b) of the GDPR.

If you take part in one of our webinars after signing up, we note at what time you entered the virtual seminar space and how long you were present in the webinar. This data is provided automatically by our service providers to us and is used to examine the resonance of our webinars and specific contents. The lawful basis of such data processing is Art. 6 (1) (f) of the GDPR.

Additionally, we inform you that we are authorised to use your e-mail address to send you information to similiar offers by academics. You can withdraw your consent to such a data processing at any time.

We save your data as long as you have not explicitly withdrawn your consent.

If you declare that you wish to receive our newsletter during the signing up process for a webinar, the specifications of our privacy policy referring to the newsletter are applied additionally.

The processing of your registration can only happen through a participants-management tool by DOO GmbH, St.-Martin-Straße 58-68, 81541 Munich, Germany. The DOO GmbH is processing their data only as per our instruction. The corresponding data processing is necessary for proper fulfilment of a contract. The lawful basis is in accordance with Art. 6 (1) (b) of the GDPR. The incorporation of forms by DOO takes place on a corresponding legitimate interest on our part in accordance with Article 6 (1) (1) (f) of the GDPR. As a customer you have the opportunity to decide through a button whether the form shall load or not.

On our website we use the "Google Tag Manager", a service by Google Ireland Limited, Gordon House, Barrow Street, Dublin 4, Ireland (hereinafter "Google"). We also use Google Tag Manager if you have agreed to the use of this service. Google Tag Manager enables us as a marketer to manage website tags via an interface. Google Tag Manager, which implements the so-called tags, is a cookie-free domain and does not collect any personal data. It prompts other tags which may in turn collect data in certain circumstances. Google Tag Manager does not access this data. If you have selected ‘disable’ at domain or cookie level, this remains in place for all tracking tags implemented with Google Tag Manager. Processing of any data is based on Art. 6 (1) (a) of the GDPR. 

Herein lies our legitimate interest. In the potential case of any processing of personal data through the utilisation of Google Tag Manager, the lawful basis is in accordance with Art. 6 (1) (f) of the GDPR.

As well as the data you enter voluntarily, we also automatically collect data from you every time you visit our websites, which enables you to have smooth use of our websites and directly provide you with certain information and third-party links. In the following we describe the different programms that we have in use, as well as their purpose of incorporation and the different categories of gathered data. . 

Most of the programs used that are described in this part of the privacy policy use so-called “cookies” for data collection. Cookies are small text files created automatically by your internet browser and stored locally on your device (computer, tablet, or smartphone, etc.) when you visit our website. Cookies do not do any damage to your end device. We use cookies to make the use of our offers a better experience for you. For example, cookies allow us to recognise you when you visit our website again so that you don't have to repeat the preferences that you have set. 

We also use cookies to record the use of our website statistically and to analyse it for the purpose of optimising what we offer you or to enable a targeted advertising feed. All cookies are automatically deleted after a certain defined period of time when they have fulfilled their purpose.

More detail regarding the data that is automatically collected/our used services:

When you visit our website, information is automatically sent to our website’s server by the browser being used on your device. This information is temporarily stored in a so-called log file. The following information is automatically collected in the process: IP address, date and time of access, name and URL of the file you viewed if applicable, the website from where you accessed our website if applicable (referrer URL), the browser you are using and if applicable, the operating system of your computer and the name of your access provider. The IP address, i.e. the only piece of data that could establish a link to you as an individual, is deleted immediately or anonymised so that it is no longer possible to establish the link to you as an individual. 

We process the aforementioned data for administrative purposes and so that we can provide you with a smooth connection and easy use of our website and to ensure that our system is secure and stable. The data processing is based on our existing legitimate interest in data processing for the aforementioned purposes and therefore on Art. 6 (1) (f) of the GDPR. 

Our website uses the ("SZMnG") measurement method from INFOnline GmbH, Brühler Str. 9, 53119 Bonn to determine statistical characteristics about the use of our website. The objective of usage measurement is to determine the number of visits to our website, the number of website visitors and their surfing behaviour - on the basis of a uniform standard method - and therefore receive comparable values from across the market. 

For all digital service providers who are members of the German Audit Bureau of Circulation (Informationsgemeinschaft zur Feststellung der Verbreitung von Werbeträgern e.V. IVW – http://www.ivw.eu) or who take part in the studies carried out by the German Association of Online Research (Arbeitsgemeinschaft Online-Forschung e.V. - AGOF - http://www.agof.de), usage statistics are regularly processed by AGOF and the German Association of Media Analysis (Arbeitsgemeinschaft Media-Analyse e.V. - agma - http://www.agma-mmc.de) regarding audiences and published with the ‘Unique User’ performance value as well as by the IVW with the ‘Page Impression’ and ‘Visits’ performance values. These audience values and statistics can be viewed on their respective websites. 

Measurement is carried out by INFOnline GmbH using the SZMnG measurement method with a legitimate interest in accordance with Art. 6 (1) (f) of the GDPR. The purpose of processing the personal data is to generate statistics and create user categories. The statistics serve to understand and document the use of our website. The user categories form the basis for interest-based advertising material or advertising activities. Usage measurement, which ensures comparability with other market players, is essential to market this website. Our legitimate interest arises out of the economic value of the findings emerging from the statistics and user categories and the market value of our website - including such in direct comparison to third-party websites - which can be determined using the statistics. In addition, we have a legitimate interest in providing the pseudonymised data from INFOnline, AGOF and IVW for the purpose of market research (AGOF, agma) and for statistical purposes (INFOnline, IVW). Furthermore, we have a legitimate interest in providing the pseudonymised data from INFOnline for further processing and provision of interest-based advertising material. 

INFOnline GmbH collects the following data, which contains references to individuals according to the GDPR: 

  • IP address: Every device needs a unique address on the internet, the so-called IP address, in order to transmit data. The at least short-term storage of the IP address is technically necessary due to the way the internet works. IP addresses are shortened by 1 byte before any processing and anonymised before any further processing. IP addresses are not stored or processed any further without being shortened.
  • A randomly generated client identifier: In order to recognise computer systems, audience processing alternatively uses a cookie with the “ioam.de” identifier, a “local storage object” or a signature which is created from various pieces of information transmitted automatically from your browser. This identifier is unique to each browser, provided the cookie or local storage object is not deleted. Measurement of data and subsequent assignment to the respective client identifier is therefore also possible if you visit other websites which also use the "SZMnG" measurement method from INFOnline GmbH. The validity of the cookie is limited to maximum one year.

INFOnline GmbH’s measurement method, which is used on this website, determines usage data. This is done in order to collect Page Impressions, Visits and Clients performance values and use them to establish other indicators (e.g. Qualified Clients). In addition, the measured data is used as follows: 

  • So-called geolocation, i.e. the assignment of a website visit to the location of that visit, is only carried out on the basis of the anonymised IP address and only to the geographical level of German state or region. A reference to a user’s specific place of residence cannot be deduced from the geographic information acquired in this way.
  • The usage data of a technical client (for example, a browser on a device) is collated across websites and stored in a database. This information is used for the technical evaluation of social information, age and gender, and transferred to the service providers of the AGOF for further audience processing. Within the scope of the AGOF study, social characteristics are evaluated technically on the basis of a random sample, and can be assigned to the following categories: age, gender, nationality, professional activity, marital status, general household information, household income, place of residence, internet usage, online interests, place of use and user type.

The full IP address is not stored by INFOnline GmbH. The shortened IP address is stored for no more than 60 days. The usage data in connection with the unique identifier is stored for no more than 6 months. 

The IP address and the shortened IP address are not passed on. Data with client identifiers is passed on to the following AGOF service providers in order to generate the AGOF study:

If you do not wish to participate in the measurement, you can opt out using the following link: https://optout.ioam.de. In order to ensure exclusion from the measurement, it is technically necessary to place a cookie. If you delete the cookies in your browser, you will need to repeat the opt-out process using the aforementioned link. 

The affected person has the right to file a complaint with a data protection authority. You can find more information on data protection in the measurement process on the INFOnline GmbH website (https://www.infonline.de), who operate the measurement process, the AGOF data protection website (http://www.agof.de/datenschutz) and the IVW data protection website (http://www.ivw.eu). 

In order to improve and develop our website, we analyse statistical characteristics regarding the use of our website and services. Within the scope of your visit, non-personal data transmitted by your browser is collected for our development department. In order to collect this data, we use the services of Webtrekk GmbH, Robert-Koch-Platz 4, 10115 Berlin, Germany (hereinafter “Webtrekk”). 

Webtrekk enables us to collect statistical data about the use of our website and to improve the website accordingly. To do this, Webtrekk uses cookies, i.e. small text files, which are stored locally on the cache of your browser on your device and which enable the analysis of your use of our website. The acquired information is collected by a pixel embedded on our website. Every time you access our website, the following information sent by your browser is collected and analysed: 

  • Name of the specific website viewed 
  • Date and time 
  • Browser information 
  • Operating system 
  • Screen resolution and colour depth of your device 
  • Referrer URL (site visited beforehand) 
  • IP address 
  • Clicks 
  • Possibly form contents, e.g. content entered in free text fields (name and password are only transmitted as “entered” or “not entered”)

Webtrekk only stores your IP address in shortened, anonymised form. It is only used for session recognition, for geolocation and to deter cyber attacks. The IP address is then deleted straight away. Identification of individuals is therefore ruled out. 

Webtrekk stores the following cookies: 

  • Session cookies (for session recognition, duration: one session) 
  • Persistent cookies (to recognise new/regular clients: 6 months) 
  • Opt-out cookies (when opting out from tracking: 60 months) 

We only use Webtrekk if you agree to the use of this service provider and their cookies. The lawful basis of this data processing is therefore Art. 6 (1) (a) of the GDPR (consent). You can withdraw such consent at any time. 

Their use allows us to analyse the use of our website and be able to continuously improve individual functions and offers as well as user experience. This represents our justifiable interest in processing preceding data through Webtrekk and MAPP. We can statistically analyse anonymised user behaviour and therefore improve our website and make it more interesting for you as a user. Pseudonymised profile data is only created with your consent and on the lawful basis of Art. 6 (1) (a) of the GDPR. Due to economic reasons setting a cookie is absolutely necessary (TTDSG).

Microsoft Advertising collects and stores data which is used to create user profiles using pseudonyms. Bing Ads allows us to track user activities on our website if a user has reached our website via advertisements from BingAds. If you reach our website via such an advertisement, a cookie is placed on your device.

A Microsoft Advertising UET tag is integrated into our website. This is a code which is used along with the cookie to store some non-personal data about the use of our website. The provider enables us to design and evaluate surveys and online forms. In addition to the personal data that you enter in the forms, information about your operating system, browser, date and time of your visit, referrer URL and your IP address is also collected, transmitted to the provider and stored on the provider's servers.

The information you enter in the forms is stored in a password-protected manner to ensure that third-party access is excluded and only we can evaluate the data for the purpose stated in the form.

When processing personal data that is required to fulfill a contract with you (this also applies to processing operations that are required to carry out pre-contractual measures), Article 6 (1) (b) GDPR serves as the legal basis. Processing when you exercise your rights according to Art. 15 to 22 of the GDPR

If you exercise your rights in accordance with Art. 12 to 22 of the GDPR, we will process your personal data transmitted to us for the purpose of our execution of these rights and in order to be able to provide proof thereof. We will only process data stored for the purpose of providing information and its preparation for said purpose and for purposes of monitoring data protection and apart from this, restrict the processing in line with Art. 18 of the GDPR. According to Art. 20 of the GDPR, you have the right to receive personal data concerning you in a structured, commonly used and machine-readable format and the right to transmit this data to another controller where the grounds stated in Art. 20 of the GDPR are met. In this connection, you have the right to have the personal data concerning you transmitted directly to the other responsible controllers. 

According to Art. 21 of the GDPR, you have the right pursuant to Art. 21 of the GDPR to object, on grounds relating to your particular situation, to processing of your personal data which is based on legitimate interests according to Art. 6 (1) (f) of the GDPR.
