Life Science Alliance (LSA; www.life-science-alliance.org) is an online, open-access, peer-reviewed scientific journal based on an alliance of three pre-eminent scientific organizations: EMBO Press, Rockefeller University Press and Cold Spring Harbor Press. LSA is committed to the rapid, fair, and transparent publication of high quality research papers directly submitted or transferred from partner journals.
We are seeking an Editorial Assistant to join the team. The Assistant reports to the Executive Editor of Life Science Alliance. The Assistant is employed full-time and based on an open-ended contract under German law by EMBO Press Innovations (EPI) and will work in close proximity to the EMBO Press editorial office of over 20 scientific editors and assistants based in Heidelberg.
Managing manuscripts submitted to the journal or offered for transfer by the partner journals of LSA. This includes manuscript processing and tracking, quality control, author and referee communication, referee reminders and maintaining an efficient editorial pipeline
Updating and maintaining the journal database (EJP), uploading new submissions and appeals, logging and resolving problems with the database. Assisting authors with manuscript submission
Checking of and response to incoming emails or mail from authors, reviewers, editorial advisors and production staff
Ensuring that peer review process files for accepted manuscripts are correctly assembled. Publication quality control of figures and text and screening for adherence to ethical guidelines
Transferring accepted manuscripts to the publisher
Liaising with journal website maintenance and production team to solve issues noted by the Editors or authors/readers
Filing and online archiving of manuscripts and associated documentation
Covering for other assistants for the above duties when they are out of the office
Carrying out other functions for EPI as requested by the Executive Editor or the Directors of EPI
Assessing and logging of data integrity and ethics cases for LSA. Manage a database of data integrity cases and track progress/updates
Creating corrigendum/erratum/retraction entries in eJP and liaise with Executive editor/authors to ensure accuracy of all data before publication
Communicating directly with authors and referees by phone or e-mail to inform them on the status of their manuscript and to answer questions. Where appropriate escalate to executive editor. Log communication and final decisions in eJP
Taking notes or minutes at EPI, LSA directors and academic editor/editorial board meetings as appropriate
Increasing visibility of LSA on social media and via liaising with LSA's marketing team
Qualifications and experience
The successful candidate will
have strong interpersonal and communication skills
have an excellent command of written and spoken English
be highly organized, reliable and able to prioritize and multi-task effectively
have a sound working knowledge of current office software
have the ability to work both independently and as part of a team
strive for high quality of work and be aware of the aims and standards of the organization
have a positive attitude and customer service focus.
Relevant administrative or experience working in an international and/or scientific environment and/or with image analysis and scientific data is desirable.
